Safety first with Microimage HCM OH & S

Occupational Health and Safety

Be it mandatory compliance requirements in developed countries or emerging HR requirements in developing countries, Occupational Health & Safety (OHS) has become an important HR functionality across the globe. Violation of OHS guidelines will result in severe damages to the organizational workforce and its reputation and fines usually exceeding 100,000 USD plus jail terms in many occasions.

Not having a software module which is capable of streamlining this area will put whole organization at a greater disadvantage in a highly competitive business world like what is prevailing today. Microimage is pleased to release their OHS module today in a context like this.

Assuring a safer workplace for employees is the whole purpose of OHS. For that matter HR professionals need to pay their attention on physical & mental safety of their work force. Capturing, reporting and analyzing work place related accidents in a systematic ways helps to take appropriate corrective and preventive actions, which increases the physical safety of the working environment. This can be further enhanced by paying necessary attention to the skill requirements of employees pertaining to the activities they perform at work, assuring proper maintenance of equipments which contributes to a major part of the work place accidents and extending to measuring levels of hazardous materials like chemicals and asbestos, noise levels, radio activity etc when it is relevant. It is important to make sure all the employees participate in safety related training programs and new comers get awareness on organizational safety policies as part of their orientation programs.

Conducting regular climate surveys to get insights on stress levels of the work, establishing anonymous grievance channels to HR department to report things like harassments and equipping employees with strong & winning attitudes which helps them to withstand odds & obstacles of working life are some of the steps and techniques for improving psychological safety of the employees.

A full-fledged integrated HCM software package has so much to offer in this area. Recoding accidents as per guidelines given in OHS standards, produce reports as per statutory requirements, providing various online business intelligence on trends and statistics, enabling drilling down into details when required, formulating safety indices by considering various organizational measures, providing necessary alerts & follow ups on planned corrective & preventive actions, conducting online surveys through their familiar employee portal, tracking participation on training programs related to employee safety & health, publishing safety manuals on employee portals, highlighting skill requirements for handling various equipments and performing jobs, prompting for regular maintenance of equipments, providing check lists for internal safety inspections etc are some of the functionalities a good HCM solution will provide. That is exactly what we provide with the Microimage HCM8 – OHS module.

We invite you to explore the rich user experience provided in it!

360s : Myths, Realities and Thoughts

written by: Vidusha Nathavitharana - Cheerleader, High5 Consulting

On the eve of putting to market a home grown 360 platform with the pioneers of innovation in HRIS, Microimage, we thought it prudent to first lay bare some of the misconceptions about 360s.

The biggest challenge in using 360s is in understanding that it is NOT a performance management/appraisal tool.  Time and again there has been enough empirical evidence to prove that if used for the purpose of increments and bonuses, the 360s prove to be extremely subjective, and also, the feedback, questionable.  (The Center for Creative Leadership, one of the premier institutes that conducts leadership development programs across the globe has put out an annotated bibliography about the use of 360’s which we encourage anyone using the 360s to read http://www.ccl.org/leadership/pdf/research/Using360Feedback.pdf)

360s are best used as a development tool.  Devoid of the urge to say ‘excellent’ to everything because one feels bad to negate an individuals increment, participants of 360s tend to be open and honest in their feedback.  Since all those who work with an individual is requested feedback, it gives a holistic view of the individual and his/her behavior at work.

However, the key is to ensure it is anonymous.  Unless the organization is very mature in its management and management practices, participants shy away from being brutally honest unless they know their feedback cannot be traced back to them.  Specially in countries such as Sri Lanka, where giving feedback is often awkward, many will NOT give the required feedback unless they can remain anonymous.  Deeply ingrained national cultural paradigms need to be taken into consideration in drafting and executing the 360s.

Needless to say, it is critical to ask the right questions.  The feedback can be extremely hazy and unproductive unless there are useful, pointed and relevant questions being posed.

What is also equally important is that the 360s are linked to career and succession planning, and also development interventions.  Simply conducting 360s with no follow up on them leaves a participant who gets feedback with the conundrum of what to do next : and the hopeless situation of knowing full well that there is no value in the exercise.  The credibility of the process is in being able to track an individual’s behavior over time, and through it, prepare individuals for leadership positions of the future.

There are many sites with useful tips and information : the following link we think is particularly useful (http://www.decision-wise.com/blog/2011/07/12/10-tips-for-using-360-degree-feedback-for-performance-appraisal/)

Good luck with your 360s : we hope they become an integral part of your development processes !

Dialog, Microimage deploy Lanka’s first cloud based human resource application

Dialog Enterprise, the corporate solutions arm of Dialog Axiata PLC is offering Sri Lankan enterprises, solutions on a SaaS (Software as a Service) platform, which it says can bring considerable cost savings to organisations that otherwise have to use licensed business application software.
